Introduction to the Non-Catalog Request Process in Oracle Learning Cloud: The Non-Catalog Request process in Oracle Learning Cloud enables learners to request training or courses that are not part of the predefined catalog offerings. This process ensures that learners can access personalized learning opportunities while maintaining approval workflows and administrative controls for course activation. The process involves several key steps, starting with the learner submitting a request for a non-catalog item, followed by approval from their manager, and ultimately activation by a Learning Specialist or Administrator. Through this streamlined workflow, Oracle Learning Cloud ensures that requests are handled efficiently, with proper tracking, notifications, and status updates at each stage. This process facilitates a smooth experience for both learners and administrators, enabling access to customized learning content in a structured and compliant manner.

 

Process Flow for Learner:

1. Submitting a Non-Catalog Request 

To initiate a non-catalog learning request, the learner needs to follow these steps:

Access the Learning Cloud by navigating to Me > Learning > Actions>Request Non-Catalog Learning.

  • Click on the Actions menu and select Request Non-Catalog Learning.

Once the non-catalog request page opens, the learner must fill in all the required fields with the necessary information, which could include course details, objectives, and any specific learning requirements.

  • After completing the form, the learner clicks on Submit to send the request for approval.

 

2. Viewing the Status of the Request

Once the request is submitted, the learner will see the requested non-catalog learning item under the Me > Learning > Current Learning section.

The status of the requested item will be listed as Requested, indicating that it is waiting for approval.

The learner can take action on this request by either editing the request details or canceling the enrollment.

 

3. Approval Workflow:

After submission, the learner will receive an FYI (For Your Information) notification informing them that their learning request has been submitted for approval.

The notification will read something like:

“FYI: Requested learning for is Submitted for Approval.”

The learner’s Manager will then receive an approval notification, where they have the option to either Approve or Reject the request.

The notification will appear as: “Requested Learning for <Course Name> from <Learner Name>.”

If the Manager approves the request, the learner will receive a confirmation notification stating: “Approved: Requested Learning for from .”

The learner will also receive a secondary FYI notification to inform them that their request has been approved and is now Pending Fulfillment. This means the request has been approved by the manager but is awaiting final activation.

Note : Once the non-catalog item has been approved by the manager, the request status will be marked as Request Approved and will show as Pending Fulfillment in the learner’s learning dashboard.

This status indicates that the requested learning item is awaiting manual activation by an administrator before it can be started.

 

Activation by Administrator:

After the administrator activates the learning request, the status of the course will change to Active Not Started.

In the learner’s dashboard, the label will update to Start Learning, signifying that the learner can now begin the course.

 

Process Flow for Learning Specialist :

Creating a Non-Catalog Learning Item

If the requested non-catalog learning item does not already exist in the system, the Learning Specialist must create it.

The Learning Specialist will need to define all necessary course details, such as title, description, objectives, and other relevant content, and ensure it is available for assignment to the learner.

Activating the Assignment

Once the non-catalog request has been approved by the manager, the Learning Specialist is responsible for activating the request so the learner can access the course.

 

The process for activating the assignment involves

Navigating to My Client Groups > Learning > Learning Assignment > Advanced.

  • Under the Learning Item Title section, the Learning Specialist will either select Non-Catalog Item or use other identifiers to search for the specific non-catalog request.

  • After selecting Search, the Learning Specialist will locate the requested non-catalog item, which should be listed with the status Request Approved.
  • The Learning Specialist will then select Change Status > Activate Assignment > Learning Item > Change.

  • A pop-up or selection screen will appear, prompting the Learning Specialist to choose the appropriate course that aligns with the non-catalog request.

  • Once the correct course is selected, the Learning Specialist will click Done to finalize the activation.

Learner’s Access to the Course 

After the assignment is activated by the Learning Specialist, the learner is automatically mapped to the new course.

The learner can now access the course, and the status will be reflected as Active Not Started in their learning dashboard, with the option to begin the learning journey.
