Oracle HCM Cloud’s 24B update introduces an exciting new feature that transforms the way users interact with BI Publisher (BIP) reports in Journeys. By introducing “Open BIP Report on Same Assigned Journey Page” as one of the 24B Journeys updates, Oracle invites users to configure report tasks to open directly within the same journey page using an intuitive panel drawer. This eliminates the distraction of switching between browser windows and provides a seamless, integrated user experience.

Previously, accessing a BIP report from a journey task would open the report in a separate browser tab, causing unnecessary disruptions to the workflow and complicating navigation. With the 24B update, Oracle has introduced the ability to open BIP reports in a panel drawer on the same page, streamlining the process and keeping all related information in one place.

This functionality not only preserves the continuity of the work but also enables us to review, edit, and analyze reports side-by-side with other journey tasks. It’s a step forward in enhancing user productivity and improving the overall usability of Oracle HCM Cloud.

 

Real-Life Implementation: Onboarding Journey Use Cases

To demonstrate the capabilities of the Open BIP Report on the Same Assigned Journey Page feature, this methodology has been applied in two distinct use cases as part of an Onboarding Journey for new hires. The aim of this implementation is to address common challenges faced by new joiners, such as understanding team dynamics and being informed about organizational policies.

 

Case 1: Display Manager & Team Member Details

  • One of the key difficulties for new employees is knowing whom to approach within their team for support or guidance. To facilitate this, a journey task is configured to display the details of the manager and team members directly on the same page. This report is presented in a paneled drawer, making it easily accessible without the need to switch windows.
  • This configuration enables the new hire to view the details of their manager and team members on the same page, providing a sense of familiarity and ease of interaction.

 

Case 2: ID Card Policy Document

  • In addition to understanding the team structure, it is essential for new hires to be aware of company policies. Therefore, a journey task has been configured to provide access to the “ID Card Policy” document as a static PDF report.
  • With this setup, the new hire can view the ID card policy document on the same page, providing them with immediate access to vital policy information.

 

Steps for Implementing the Use Cases

Follow these steps to implement the configuration for opening BIP reports on the same page:

 

1. Prepare the BIP Report for Each Task

  • Create a data model for each BIP report that fetches the required details based on the user logged into the application.
  • Configure the report as a PDF template to ensure consistency and readability in the panel drawer view.

2. Configure the Journey Tasks

  • Log in as an HR Administrator to Oracle HCM.
  • On the Home page, click on the My Client Groups tab.
  • Select Checklist Templates, which are directly available under Quick Actions.

  • As an alternative method to navigate, click Show More under Quick Actions and select the

  • Choose the journey, e.g., Onboarding Journey, for configuration.

  • Go to the “Tasks” tab and click the task name “Know Your Team Details” and “ID Card Policy”.

  • Set the task type as Report.
  • Under the Details tab, provide the respective path of each BI report in the “Report Path” field and check in the “Open report on the same tab as task” check box.

Click Save and Close twice, and then click Done.

 

3. Allocate the Journey to a New Hire

 

  • Allocate the configured Onboarding Journey to a new hire within the organization.

4. Experience the Functionality as a New Hire

  • Log in to the new hire’s account in Oracle HCM.
  • Navigate to Journeys under the Me tab on the Home page.

  • Select the allocated journey “Onboarding Journey”.

  • Expand the task Know Your Team and click on the “Click Here to Know Your Team” hyperlink to open the report that has team details.

  • On a similar note, expand the task ID Card Policy and click on the “Click Here to view ID Card Policies” hyperlink to open the report that has team details.

  • The BIP report of the Know Your Team task & the static pdf policy document will now open as an intuitive panel drawer within the same page, allowing the new hire to access all relevant information without navigating away from the journey.

  • In these use cases, the “Know Your Team Details” report provides a convenient view of the reporting manager and team members, while the “ID Card Policy” PDF document offers easy access to organizational policies. Both tasks open seamlessly within the same landing page, enhancing the onboarding experience for new hires.

 

Tips and Considerations

  • By default, the “Open report on the same tab as task” check box is not selected. This option needs to be manually enabled for each report task type.
  • This configuration option is also available when adding a Report task type in the Task library.
  • Note that the feature “Open BIP Report on Same Assigned Journey Page” is not supported for Guided Journey in the 24B and 24C versions. In these cases, the BIP report will continue to open in a new browser window.

However, with the 24D update of Oracle, it is now possible for the report to be displayed directly within the panel drawer of the Guided Journey.
