- To view national identifier and DOB: View External Candidate Sensitive Information (IRC_VIEW_EXTERNAL_CANDIDATE_SENSITIVE_INFORMATION)

Availability of the Check Duplicates Feature
You can access the Check Duplicates action from:
- Candidate Profile
- Candidate Job Application
- Candidate Pool Member
- Prospect Record
New Pages Included in the Feature
The feature now includes three streamlined pages:
- Review Duplicates – Lists potential duplicate candidates
- Compare Duplicates – Displays candidate data side-by-side for comparison
- Duplicate Merge Summary – Summarizes the merged result
Candidate Matching Criteria
Candidates are matched using the following data:
- National Identifier (Type, Country, Value)
- Name (First and Last Name)
- Address (Country, State, City – based on your company’s geography hierarchy)
- Employment (Employer Name)
- Education (Degree and School Name)
Match Score Categories
Matches are scored as:
High
- Exact match on national identifier
- Full match on name, date of birth, address, job history, and education
- Name + 3 or more other identifiers
Medium
- Name + 2–3 matching identifiers (DOB, address, employment, or education)
Low
- Name + 1 other matching identifier
Note: “Highest,” “Higher,” and “High” are now combined into a single High category.
What if No Duplicates Are Found?
- You can manually search using the “Select Other Potential Duplicates” link:
- Search by: Name, Email, Phone Number, or Person Number
- The system checks across external candidates, contingent workers, ex-employees, and ex-contingent workers.

Compare Candidates
When comparing two candidates:
- Details are shown side-by-side (A vs. B)
- A PDF version is available for offline review (pre-merge)
- Radio buttons are used to choose which profile to retain, depending on candidate type

Merging Candidates
Once reviewed:
- Click Merge to combine records
- On success, you are taken to the Merged Candidate Page, where a PDF summary can be downloaded post-merge.
- On failure, an error message appears on the Compare page.

Tracking Past Duplicate Checks
In the Key Info section of a candidate’s job application, you can:
- See the date and time of the last duplicate check
- Access the Review Duplicates page (if duplicates were found)
- Run a new check to see if no duplicates were found earlier
