Legacy Data Migration:

Migrating historical records from over a century of operations posed quality and consistency issues. Incomplete employment histories and legacy formats required extensive cleansing and multiple validation cycles.

Dynamic Business Needs:

Evolving requirements during User Acceptance Testing (UAT), such as newly introduced absence types and changes to compensation workflows, necessitated agile handling to avoid delays.

Testing Constraints:

Limited availability of subject matter experts, particularly from the Absence and Compensation teams, created bottlenecks during testing phases.

System Upgrades Midway:

Oracle’s quarterly update (25A) introduced new functionalities that impacted configured processes, such as the Individual Compensation Plan interface.

Through proactive planning, mock loads, change control protocols, and collaborative support from Oracle and Kovaion, these challenges were navigated without compromising timelines or quality.

Despite the challenges, the project achieved remarkable success within just three months:

Deployed Core HR, Absence Management, and Individual Compensation Plans using Kovaion’s pre-configured accelerators.

Exceptional Adoption Rate:

Over 90% user adoption within the first week, driven by a structured change management approach and personalized training.

Transaction Surge Post Go-Live:

More than 1,400 reimbursement requests processed within the first hour of go-live — a strong testament to user readiness and platform reliability.

Mobile-first Experience for Leadership:

Senior leaders now approve key transactions directly via mobile, streamlining decision cycles and ensuring responsiveness on the move.

Paperless Onboarding:

TMB introduced seamless preboarding and onboarding journeys, significantly reducing manual paperwork and cutting onboarding time.

Real-Time Workforce Visibility:

Delivered 20+ insightful reports and dashboards to empower the HR team with real-time analytics and visibility.

With internal restrictions on email, a custom process was created to establish secure communication with all employees to share welcome email during Go Live.

Custom attendance capture framework:

A purpose-built module captures attendance data for all the employees, synchronized in real-time with the on-premises biometric system through secure API-based integration

Personalized Employee Experience:

The self-service homepage was reimagined using Oracle’s Newsfeed UI — complete with TMB branding and quick-access features to enhance engagement.

Hypercare and War Room Support:

The go-live week saw dedicated daily check-ins, issue tracking, and real-time support to guarantee stability and confidence among users.
