The Hiring Events feature enables organizations to efficiently manage high-volume hiring by hosting virtual or in-person events, allowing them to engage with a broad range of candidates. What is a Hiring Event?

A Hiring Event in Oracle Recruiting Cloud allows recruiters to organize and manage events such as job fairs, open houses, or virtual recruitment sessions. These events provide candidates with the opportunity to interact with hiring teams, apply for jobs, and participate in real-time interviews. This feature is particularly useful for companies looking to fill multiple positions efficiently while maintaining a structured approach to candidate engagement.

 

Step-by-Step Guide to Managing Hiring Events in Oracle Recruiting Cloud

 

1. Accessing Oracle Recruiting Cloud

Before you can begin creating and managing Hiring Events, you need to log into your Oracle Recruiting Cloud account.

 

Steps to Access:

Login:
  • Open your browser and go to the Oracle Recruiting Cloud login page. Enter your username and password to access the platform.
Role Assignment:

Ensure users have the appropriate roles assigned to them:

  • View Recruiting Event (ORA_IRC_VIEW_RECRUITING_EVENT): Allows event team members to view all aspects of the event but not modify them.
  • Manage Recruiting Event (ORA_IRC_MANAGE_RECRUITING_EVENT): Enables team members to edit event details, including dates, locations, and candidate invitations.

 

2. Setting Up Your Hiring Event

Now that you’re in Oracle Recruiting Cloud, let’s get started with setting up your Hiring Event.

Steps to Create a Hiring Event:

 

Step 1: Navigate to the Hiring Events Section
  • On the main dashboard, go to the “My Client Group >>Hiring” tab in the top navigation bar.
  • Click on “Hiring Events”. To access the event management page.

Step 2: Create a New Event
  • Click on the “Add” button. This will open a form where you will define your event details.

Step 3: Enter Event Details

Here, you’ll provide essential information about the event:

  • Event Name: Give your event a clear title, e.g., “Spring Recruitment Drive 2025.”
  • Event Type: Choose whether the event will be Virtual or In-Person.
  • Event Date & Time: Set the date and time for the event, considering your target candidates’ time zones.
  • Location: If it’s an in-person event, add the location. For virtual events, provide the link to the video platform.
  • Job Openings: Select the roles you’re hiring for during this event. You can choose multiple positions.

 

Step 4: Set up the Registration Form
  • Define required fields (e.g., contact details, resume upload).
  • Add custom questions to gather additional candidate information.

 

Step 5: Save Event
  • Click save and submit to finalize the setup. The event is now ready for promotion and posting.

3. Event Set up

Once you’ve created a hiring event, you need to format it to set up the layout, event banner, event description, and registration form. You can add event questions here if the registration form you select contains questions.

Steps to Promote:

 

Step 1: Format an Event
  • Add an event banner and description. The event details entered in draft mode are visible on the event page. The short description appears on the event tile and career site listings, while the long description is shown on the event details page.
  • Click Edit to choose the registration form. If it includes questions, the Questions section will appear. You can select questions to gather more information from registrants, including pre-screening and disqualification questions to automatically reject candidates. Questions can be reordered. For in-person events, questions are filtered by country; virtual events have a separate country selector.
  • Click Save.

Step 2: Add Interviewers to an Event
  • You can assign one or more interviewers to an event. Interviewers are responsible for speaking with candidates and shortlisting those to move forward in the hiring process.

 

Step 3: Post an Event
  • Choose an option from the Posting Schedule drop-down list:

Do Not Post: Keep the event unposted.

Post Now: Post the event immediately, with an optional expiration date to auto-un-post.

Post Later: Schedule the event to post later, with an optional expiration date to auto-un-post.

  • Select the relevant career sites. These sites use the Minimal template and have Events enabled.

4. Managing Event Registrations

Once your event is live, you’ll need to track and manage candidate registrations efficiently.

Steps to Manage Registrations:

 

Step 1: View Registered Candidates
  • From the Hiring Events page, select your event to view all registered candidates. You’ll see their names, contact information, and the roles they’ve applied for.

 

Step 2: Filter and Segment Candidates
  • Use Oracle’s filters to segment candidates by experience, location, or other relevant criteria. This allows you to focus on the most promising candidates during the event.

Step 3: Copy an Event Check-In URL
  • Copy the event check-in URL once posted and share it with candidates via email, chat, or kiosk. Select the event, click “Copy Check-In URL” in the Overview tab, and paste it where needed.
  • Candidates can check themselves into an event using a check-in URL.
  • Candidates who have completed their check-in will appear as Attended to the event.

5. Hosting and Conducting Interviews

Once an event is posted, the interviewers you’ve selected will receive a link to a shortlisting form either in an email message or in a notification message on the bell icon. You can resend the link to the shortlisting form at any time after the event begins by selecting Resend Shortlisting Form from the action’s menu on the Interviewers page.

Steps to Host the Event:

 

Step 1: In-Person Events
  • For in-person events, ensure you have a registration desk or mobile check-in system to confirm candidate attendance.

 

Step 2: Virtual Events
  • For virtual events, make sure the meeting platform link (Zoom, Microsoft Teams, etc.) is sent to candidates.

Interviewer will receive invitation to join interview team for career fair where they can shortlist the candidate.

Step 3: Shortlist Candidate
  • Interviewers can shortlist candidates after check-in using a link to the shortlisting form sent via notification or email.

Step 4: Follow Up with Candidates
  • Send personalized thank-you emails to candidates who attended the event, whether they were successful or not.

Step 5: Match Candidate to a Requisition
  • Build talent pipelines by matching qualified candidates from the event to open requisitions and candidate pools. When you add a candidate from an event to a requisition, it’s called Candidate Matching.
